When you submit a form on this site, we receive what you typed into it:

Owner and general enquiries: name, phone, email, and whatever you chose to write, including property city, unit count, and your role.
Maintenance requests: name, phone, optional email, property address and unit, urgency, a description of the problem, and any access notes.

We ask you not to send Social Security numbers, financial account numbers, or payment card details through this site. It is not built to receive them.

Information collected automatically

Our hosting provider records standard server log data for security and reliability: IP address, browser type, pages requested, and timestamps. This site does not use advertising cookies and does not track you across other websites. The accessibility panel stores your display preferences in your own browser using local storage; that data stays on your device and is never sent to us.

Why we use it

To answer your enquiry and, where relevant, to prepare a scope and quote.
To log, dispatch, schedule, and close out maintenance requests, which means sharing the necessary details with the vendor doing the work and with the property owner or their broker.
To keep records of property condition, requests, and work performed.
To meet legal, tax, and insurance obligations.

We do not sell personal information, and we do not share it with third parties for their own marketing.

Who we share it with

The property owner or their licensed broker, where the request concerns their property.
Vendors and contractors, limited to what they need to perform the work: address, access, and the nature of the problem.
Service providers that run our website hosting, form delivery, and email, acting on our instructions.
Authorities or advisers, where the law requires it or to establish or defend a legal claim.

How long we keep it

Website enquiries that do not become a client relationship are kept for up to 24 months and then deleted. Records tied to a property we service are kept for the length of the engagement and afterwards for as long as tax, insurance, and limitation periods require.

Security

This site is served over HTTPS. Form submissions are transmitted encrypted and are accessible only to authorised RWS personnel. No system is perfectly secure, which is why we ask you to keep sensitive identifiers off this website entirely.

Your California privacy rights

If you are a California resident, the California Consumer Privacy Act as amended may give you the right to:

know what personal information we have collected about you, and where it came from;
request a copy of it;
request that we correct information that is inaccurate;
request that we delete it, subject to legal and contractual retention obligations;

Children

This site is intended for adults conducting property business. We do not knowingly collect information from anyone under 16. If you believe a child has submitted information here, contact us and we will delete it.

Changes

If this policy changes materially, we will update the effective date at the top and post the revised version here.
